Job Summary
Under general supervision, performs various administrative and customer service duties for the department of Obstetrics and Gynecology. Directly supports the Administrative Director, Director of Service and Chief of Midwifery, as well as a large provider staff. Responsible for scheduling meetings across departments, coordinating resident onboarding, supporting various tasks such as but not limited to purchasing, prenatal classes and tours, and the department website.
Essential Functions:
Maintains current knowledge of the Providers work schedules and anticipates needs for support.5%
Assists in the development and maintenance of department website.5%
Maintains department employee files and ensures they are up-to-date and contain all appropriate documents per HR policies. 10%
Assists Director of Nursing in annual evaluations to ensure that all documents and associated trainings are done on time. 5%
Collects and enters data in spreadsheets and databases for monthly reports.

Maintains a current knowledge of payroll and related policies and procedures.

Maintains and continually develops competence with office technology.5%
Prepares purchase orders and payment requests according to purchasing and accounts payable policies and procedures.

Meeting and Scheduling 20%
Compiles, transcribes and distributes minutes of meetings and arrives for meetings on time and is prepared.
Schedules meetings, teleconferences, special event activities, and staff meetings.
Arranges meetings, interviews, conferences and moves for Directors of OBGYN and other department staff upon request
Reserves conference rooms and makes audio-visual equipment arrangements as appropriate.
Travel Arrangements 5%
Prepares and submits travel authorizations promptly and accurately.
Arranges travel through internal or outside agents and prepares itinerary
Arranges hotel accommodations upon request.
Arranges for the repair and maintenance of office equipment. 5%
Student Coordination 15%
Coordinate all the activities at Denver Health for OBGYN residents and Medical students
Serve as the primary point of contact for students rotating in our OBGYN department
Manage systems and tools related to onboarding; make recommendations for and implement improvements 5%
Acts as the point of contact for receiving information/calls from internal and external customers/service providers to maintain office equipment/supplies, maintenance, environmental services, etc. and notifies the appropriate personnel5%
Education:
High School Diploma or GED Required
Work Experience:
1-3 years clerical experience. Required and
Knowledge, Skills and Abilities:
Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Knowledge of budgeting principles and practices sufficient to assist the department to achieve their goals while adhering to this budget.
Intermediate knowledge of databases sufficient to be able to research, analyze, and report.
Telephone etiquette, computer, organization and communication skills are a must.
Ability to handle multiple priorities and needs at one time.
Skilled in independently adapting, interpreting and applying written guidelines, precedents, and standardized work practice to a variety of unprecedented or problematic situations.
Ability to maintain adequate office supplies.
Ability to demonstrate professional work behavior by following guidelines as established by policies and procedures.
Recognizes, initiates, and leads improvement efforts.
Microsoft System experience required.
