The Administrative Manager is responsible for all administrative and clerical staff for 7 outpatient clinics, 3 endoscopy suites, and 25 staff members; scheduling procedures at Cool springs surgery center; updates protocols on OneNote for each subspecialty within the DDC and makes sure staff has access and understands how to use the tool; supervises day to day performance of staff as assigned through ongoing assessment and coaching to achieve goals; assists/provides feedback in preparation of the annual operating and capital budgets; manages, submits for build, and oversees all provider templates; requests eStar pools to be built and closed for new or termed providers; actively communicates with providers, clinic leadership, VUMC Leadership and call center leadership to ensure an accurate, efficient, and positive experience for our patients; conducts routine staff meetings and assists leadership with cascading communications throughout the team; manages all aspects of interviewing, hiring, training, rewards and recognition, coaching, progressive discipline, dismissals, performance appraisals, and employee relations; serves as an escalation point for both clinic and Care Connections; manages and updates the on-call list for ECL GI Providers; identify areas epic is not functioning correctly from a scheduling perspective and enter tickets to Health IT; monitors and follows up on the Gastroenterology Clinic Work queue and the reschedule report; works with DDC leadership on a rotating schedule to plan and send out daily staffing reports; approves PTO for direct reports; coordinates coverage and staffs-in if an area is understaffed; escalation points for scheduling errors and service recovery; approves all DDC Provider PTA requests that are during a desirable time or less than 6 weeks; works with Transplant clinic to fill and monitor offsite satellite clinics in Madison AL and Clarksville TN both Telemed C2C and in person; blocks corresponding TVC clinic if appropriate; provides data to providers to justify additional providers in a specific area or change scheduling protocols; trains staff on process for Single case agreement and OORA approval (communicates with Providers when appropriate); grants e-fax access; requests Skype for business phone call option for staff who work remotely; assists provider AA's with PTA tool concerns/questions.
