The Program Manager position supports the Center for Professional Health.
The successful candidate should be extremely organized, efficient, detail oriented, a team player, and a self-starter. Additionally, the candidate should possess excellent communication and interpersonal skills and be able to think and function independently. She/he/They must be able to multi-task while remaining professional, and helpful. Excellent time management and planning skills are essential. Proficiency with MS Office Programs, Adobe, SparkLearn, other VUMC programs (eProcurment, etc.), the banking systems, and managing office staff is a requirement. He/She/They should have the ability to quickly learn new programs as needed. Proficiency with data management tools (e.g., Redcap) and/or data analysis programs is a plus. Experience with coordinating research and other projects are essential.

Additional Key Elements/ Responsibilities:
Specific Duties: Program Manager of the CPH
Coordinate internal and external program activities which may include research and educational meetings, events, seminars, and workshops.
Coordinate all logistics (scheduling, planning, organizing, ordering, contacting participants, etc.) for all CPH educational training programs internal and external to VUMC.
Manage and maintain oversite of grant and research projects.
Manage and maintain CME and IRB approvals on all educational programs and courses.
These programs include lectures/presentations, workshops, seminars, live and virtual events, and our current three 3-day professional development courses for healthcare professionals.
These programs will take place monthly to several a month. We are launching a new set of offerings for external participants as well as a coaching option. The Program Manager will oversee all these events (20+ events a year) and oversee other office personnel.
Enrolling participants/client into programs and activities such as: programs, retreats, coaching, and consult programs.
Oversee and manage the consultation process. Enroll participants, communicate/correspond with collaborators, and serve as liaison between institution/consultee, and assist in developing presentations and materials for all consultations received by internal departments or external hospitals/programs.
Prepare informational materials and disseminate to appropriate audiences and enroll participants in internal and external courses and workshops.
Prepare all written educational materials and registration documents for participants for all professional development lectures/presentations, seminars, workups and courses offered at or external CPH.
Prepare portfolios for workshop participants at internal/external to VUMC
Assist healthcare professionals with online enrollment and send confirmation materials via email.
Assist in improving enrollment efficiency.
Oversee general office staff personnel (research analyst, administrator, associate program manager, students, temp workers, etc.).
Provide critical reviews and appraisal of performances for those supervised.
Manage and hold office team accountable.
Office function oversight - eProcurment, banking, budgets, purchasing, etc.
Maintain, update, and improve all educational technology activities/platforms and participate in development of new technologies as needed.
Update and manage the web page
Create/set up, update, and manage all/any learning platforms - SparkLearn, Canvas, Learning Exchange, or other platforms.
Update and manage all social media platforms and participate in distributing marketing materials via email, Constant Contact, SM, et
Identify and utilize best technology programs (REDCap, Adobe products, Turning Point, Poll Everywhere, Mentimeter, Trello, Constant Contact, etc.).
Develop live, virtual, and enduring educational materials including PowerPoint slides, paper documents, items for publication (article and books, etc.), educational tools, assessments, videos, and virtual space activities.
Develop visuals (tables, graphs, etc.) for research, teaching tools and publication. Assist in scoring individual participant surveys and portfolios for each course, lecture/presentation, seminar, or workshops and distribute reports as needed.
Proofread and manage new material prior to submission for publication.
