Supervisor, Operations (Decedent Affairs - Third Shift)

Job Summary:

Provides first line supervision of Operator Services representatives; provides training, guidance and direction to team members on activities and behaviors; provides support for problem resolution and information gathering regarding customer complaints and work assignments. Provides support to management in all aspects of Call Center activities including, but not limited to, policy and procedure implementation and execution, performance management, and system administration functions

Death Certificate Administration: (20%)

• Initiate and complete all death certificates when a patient expires at VUMC to include, but not

limited to: confirming and accurately transcribing patient demographics, ensuring the physician

completes appropriate sections and signs / certifies and coordinating with appropriate funeral

home or health department for filing

• Partner with Tennessee Department of Health to ensure Vanderbilt compliance with Vital

Records Information Management System (VRISM), Vanderbilt physician enrollment and act as liaison between Vanderbilt physicians and Tennessee Department of Health

• Complete other activities related to death certificates to include, but not limited to: prepare

reporting from EMR, completion of affidavits, coordinate delayed diagnosis completion and act

as liaison with external entities and Vanderbilt physicians related to deaths outside of the

Vanderbilt system

Patient Disposition and Release: (20%)

• Coordinate and manage the patient release process from VUH and VCH to include, but not

limited to: coordinating with Funeral Home, Medical Examiner, Tennessee Donor Services,

Metro Social Services or family, ensuring timely release of decedent and confirming all

appropriate paperwork has been completed

• Support DA Associate Program Managers with the infant cremation process
• Collaborate with unit staff to take report of death and accept patient to morgue when

applicable

• Maintenance of VUH and VCH morgue and all patients present
• Responsible for updating and confirming accuracy of morgue log in both VUH and VCH
• Coordinate release of patient belongings

Data reporting, tracking, and trending (40%)

• Oversee the final report of death review process
• Oversee the disclosure reporting process
• Oversee the external expired patient process
• Recognize and identify data trends
• Recognize and identify opportunities for improvement

Additional Responsibilities: (20%)

• Provide support to Decedent Affairs Manager to include but not limited to: answering the DA

office and cell phone and returning calls as needed, monthly state and institutional reporting,

partnering with surgical pathology and aiding with autopsy consents and triaging

operational issues as they arise

• Provide support to VUH Patient Transport Department / Manager to include, but not limited to:

monitor Patient Transport Command Center and provide logistical support (i.e. assigning jobs,

cancelling jobs, inputting transport requests, prioritizing transport requests, maintain break

schedule and assign staff accordingly, completing patient transports, rounding and service

recovery

• Creating and maintaining professional and effective relationships with funeral home / mortuary

transport staff

• Assist Patient Transports / Decedent Affairs per High Capacity Triggers
• Office Supplies / Inventory
• Attend / Complete assigned training
• Other duties as assigned

Scheduling:

• Third shift variable (self-scheduling with final approval from Department Manager) done

through VandyWorks every 6 weeks)

• Every other weekend (Sat & Sun) - on rotation with other Ops Sup in department
• Holiday rotation (1 on, 1 off) - on rotation with other Ops Sup in department
• Opportunities for on call and overtime
• Requests for PTO & POFF submitted in VandyWorks (reviewed and approved / declined by

Department Manager)

• Call outs communicated verbally (not electronically through email, text, etc.) directly to

Department Manager
