ASSISTANT TO THE CHAIR

Job Summary:

This position is an essential administrative role in the Department of Biostatistics.

Our Department has a dynamic reach across Vanderbilt where our faculty members collaborate on biomedical research. We also offer an innovative and contemporary graduate program. Our mission is to engage in and facilitate collaborative endeavors in biomedicine and the basic sciences, conduct groundbreaking methodological research, promote interdisciplinary discovery, train the next generation of PhD and MS Biostatisticians, and act as an educational resource for biomedical researchers and Vanderbilt.

The primary responsibility of this position is to manage the administrative and business details within the Department Chair's office. It is expected of this position to foster an energetic and collaborative work environment in which team work and high productivity are a priority. A global perspective and high level of professionalism are needed as this position will interact with a diverse faculty and student population as well as leaders from the academic health care field across Vanderbilt, the local community, nationally and internationally.

Responsibilities will include but are not limited to the following:

Executive support to Department Chair

• Serves as point of contact for Chair and Department
• Manage administrative and business details within Department Chair's office
• Coordinate complex meetings and travel arrangements for Department Chair often requiring independent judgment and discretion
• Prepare financial documentation and process expense reports in Concur
• Assist Department Chair in development of department protocols
• As delegated by Department Chair, communicate, implement, interpret and revise policies and procedures as appropriate
• Coordinate department meetings, schedules, agendas, and execute communication for these meetings
• Document minutes at department meetings and distribute as appropriate
• Compile and prepare correspondence and other materials for the Department Chair
• Coordinate BETRNet meetings and teleconferences
• Coordinate retreats, social activities, celebrations and special events for the Department Chair's office
• Track and coordinate renewals of Chair's and Department's memberships

Faculty appointments/reappointments

• In partnership with Department Chair, help in developing faculty appointment and recruitment goals and priorities for Department's long-range strategic planning
• Oversee and process faculty appointments and reappointments
• Attend relevant meetings in Office of Faculty Affairs to stay abreast on changes in processes
• Oversee and track faculty compliance status
• Communicate compliance status to faculty and assist in maintaining compliance with institutional requirements
• Design, implement, manage, and automate various tracking systems and internal databases to track faculty appointments
• Responsible for maintenance of all related documentation including confidential files
• Plan for onboarding of new faculty members
• Support department faculty promotions committee
• Coordinate travel and agenda for faculty candidates

Department facilities

• Partner with administrative leadership to coordinate and complete annual Department and CQS space surveys
• Maintain data on space utilization and availability
• Facilitate office/cubicle space assignments in partnership with department leadership
• May coordinate space moves and renovation projects by liaising with institutional and external partners and vendors

Staff supervision

• Responsible for hiring, leading, and supervising staff
• Assign and oversee work assignments of administrative staff
• Review and approve leave requests and timecards
• Train, mentor and develop staff
• Participate in onboarding new department staff

Additional Information:

This is a full-time position. Salary is dependent upon education and experience.
