Responsible for executive level administrative assistance in support of the Executive Vice President, Chief Innovation Officer. Serves as primary liaison for the principal with system leadership and staff and representatives from external organizations and visitors. Effectively integrates work of the EVP with other key executive leadership and areas within the system as well as that of the President/CEO. Performs duties to support the mission, vision and values of the system.
Ensures administrative management of the EVP’s work activities are effective, accurate, and timely; consistently ensures a gracious and professional decorum on behalf of the EVP and the organization at all times; ensures efficiency and organization to the office of the EVP, working with other key collaborative areas; ensures confidentiality at all times. Directly accountable to the EVP, Innovation and Dissemination; works effectively as a team member with other Executives and Executive Assistants.
Demonstrated competence in written, oral and electronic communication skills (interpersonal/communication and technological effectiveness competencies).
Demonstrated ability to work independently while being an effective member of an executive team.
Demonstrated flexibility; creativity in problem solving; and ability to manage simultaneous competing projects/issues.
EDUCATION AND EXPERIENCE:
Associate’s Degree in business, secretarial or related field required. May consider demonstration of appropriate experience/skills in lieu of degree.
Minimum 7 years recent successful administrative assistant experience with at least three years in an executive office environment demonstrating progression in responsibilities and an ability to work with staff at all levels, being assertive, and demonstrated use of good judgment and decorum in dealing people required.
Experience in organizing an administrative office and large events required.
Requires knowledge of use of microcomputers and software such as Microsoft Office Suite (i.e. Word, Excel, PowerPoint, Access, Project, and electronic mail). Speedwriting, shorthand, transcription skills beneficial.
Requires ability to communicate effectively and possess effective organizational skills.
Requires broad knowledge of program planning, financial and other activities, and an ability to understand and work with complex organizations.
Requires demonstrated experience in self-motivation and ability to work unsupervised.
WORKING CONDITIONS/PHYSICAL DEMANDS:
Work is typically performed in an office environment. Independent travel to the sites throughout the system and surrounding communities may be required.
